Here, you can learn more about the positions available in Harvey MedSoc’s executive team. As MedSoc is a recently-founded organization, the regulations and therefore the available positions and their descriptions are altered annually to meet the needs of the Harvey students.
A description of MedSoc positions are available below. To learn about these positions in more detail, please check the regulations.
The “Executive Committee” is defined as the President, Vice-President, Treasurer, Head of Socials, Head of Academics. These positions can only be applied for by members of a previous Full Committee. In case no previous member applies for such positions, a first-time member is able to apply. Priority should be given to current applicants of the Full Committee
Note that the most recent Internal Regulations of Harvey MedSoc is attached below. The 2023/24 committee has approved an updated MedSoc Regulations.
Roles:
- Oversee and manage MedSoc as a whole
- Frontline face of the Society
- Responsibility over all committee actions & plans
- Support the vice-president
Powers:
- Veto of Motions
- Designation of new roles
- Co-Management of finances
- Only a tie-breaking vote
Roles:
- Record detailed notes of all committee meetings
- Plan and organise all meetings
- Distribute summaries of meeting to members
Powers:
- Discretion of record
- Discretion of meeting times & dates
The social team is made up of: HEAD OF SOCIAL, SOCIALS SECRETARY, SOCIALS PR SECRETARY
HEAD OF SOCIAL
Roles:
- Organise and lead social, non medical, events
- Provide receipts for all transactions to Treasurer
- Minimum 1 event/month
- Update social page of website & calender
- Plans and executes outdoor events and adventures, suitable for students
- Responsible for comfort and safety on the trip. e.g. hiking, skiing, mountain climbing, cycling, camping, outdoor BBQ etc.
- Creates and manages course-wide sports competitions.
- Responsible for integration of first years, through regular monthly events with volunteer upper years.
- Creates and manages upper year buddy system, where each first year has a personal contact from a higher year to get help/ tips/ connections from on any matter.
Powers:
- Independent authority on Social matters
- Discretionary use of the Social budget
- Cancelation & Modification of all Social events
- Choose and/or provide appropriate and reliable equipment for everyone involved, necessary documentation etc.
SOCIAL SECRETARY
Roles:
- Responsible for finding and finalising venues of social events
- Communication with the Media Team so as to promote said events
Powers:
- Decides travel, food, and accommodation solutions and any other logistics concerning a trip or event.
SOCIAL PR SECRETARY
Roles:
- Creates posts in anticipation of, during, and after the event organized by
Socials team - Handles social media platforms during events organized by the Socials team
- Creates online forms and documents for events that require registration by the
Harvey students - Is responsible for printing posters for advertising events in accordance with
Medsoc’s treasury
The media team is made up of IT SECRETARY and PRESS MEMBER
IT SECRETARY
Roles:
- Maintain & run the online site
- Troubleshoot on all IT matters
- Manage email distribution
- Allocation of permissions on site
Powers:
- Discretion on all non allocated areas of the site
- Planning of further works on the site
- Payment of site fees and other IT role expenses from the IT budget
PRESS MEMBER
Roles:
- Responsible for all media coverage of every event and sharing it with the student community, aided by the IT secretary.
Powers:
- Access, management and sharing of all media, with the consent of the parties involved.
Roles:
- Support of the president in executive decisions
- Management of committee roles
- Act in place of the President if needed
Powers:
- Approval of individual projects by committee
- Lead meetings independently
- Act in place of the President when he/she is unavailable
- Discretionary oversight of committee members
The finance team is made up of: TREASURER, MERCHANDISE SECRETARY
TREASURER
Roles:
- Manages all financial transactions & accounts
- Approves financial claims by committee
- Manages all financial concerns & legislation
Powers:
- Approval of funding
- Management of finances & distribution of monies
- Can demand receipts for all claims
- Auditing powers
MERCHANDISE SECRETARY
A single person responsible for the whole merchandising process, including:
- Receiving submissions from students.
- Organizing and updating the relative material on the website and MedSoc cloud drive.
- Submitting periodical orders
- Collecting ordered merchandising when ready
- Communication with the Executive committee, especially the Treasurer, for all budget matters (receipts submission, budget decisions, etc.)
- Finding new suppliers for event-specific merchandising (e.g. shot glasses, cups, etc.)
- Possible creation of limited time offers and designs (to be decided with the committee)
The academic team is made up of: HEAD OF ACADEMICS, ACADEMIC SECRETARY, SPONSORSHIP SECRETARY, ACADEMIC PR SECRETARY
HEAD OF ACADEMICS
Roles:
- Create, plan and run academic events
- Academic Secretary must plan at least 2 academic events a semester, including seminars, workshops, OTAs, etc.
- Responsible for integration of first years, through regular monthly events with volunteer upper years.
- Creates and manages upper year buddy system, where each first year has a personal contact from a higher year to get help/ tips/ connections from on any matter.
Powers:
- Work in conjunction with other academic committee members.
- Choose the topic of the events, according to the current trends in medicine.
- Select and invite keynote and workshop speakers from all around Europe.
ACADEMIC SECRETARY
Roles:
- Responsible for finding and finalising venues of academic events
- Communication with the Media Team so as to promote said events
- Creates and handles the sign up forms regarding mentorship programme and events if needed
SPONSORSHIP SECRETARY
Roles:
- Responsible for finding and finalising sponsorship opportunities for academic events, this includes ACERSAT application
- Aiding in sponsorship availabilities for social events
- Searches for & advertises internships and research to members
ACADEMIC PR SECRETARY

- Establish and maintain communication with professors, administration and professionals on any matter that concerns the society.
- Responsible for the graphics of the social media posts and the planned events.
Powers:
- Regular promotion of society on social media.
- Direct communication with faculty and administration (e.g. invitations for the events and keeping them informed)
PRESS MEMBER
Roles:
- Responsible for all media coverage of every event and sharing it with the student community, aided by the IT secretary.
Powers:
- Access, management and sharing of all media, with the consent of the parties involved.
